Auckland vehicle transport pickup checklist

Booking vehicle transport in Auckland? Prepare the route, access, keys and vehicle details needed for a clearer quote and a smoother pickup.

Booking vehicle transport in Auckland is easier when the operator knows four things before pickup: where the car is, where it is going, whether it can roll, steer and brake, and whether a flatbed can reach it. This checklist is for planned moves rather than an urgent roadside breakdown. It covers purchases, deliveries and relocations already included in our vehicle transport service.

Start with the complete route

A suburb at each end is useful for an early conversation, but a transport booking needs more detail. Prepare:

  • The full pickup address and the exact place where the vehicle is parked
  • The full delivery address and the name of the person or business receiving it
  • A preferred day or time window
  • A contact phone number for each end
  • Any opening hours, gate instructions or collection deadlines

The delivery point matters just as much as the pickup. A workshop may need the car placed in a particular bay. A dealership or storage site may only accept vehicles during staffed hours. Confirm those details with the receiving site before the truck leaves.

For an out-of-Auckland move, share any timing constraint at the start. These jobs are arranged by appointment, so the pickup, destination and target timing need to be planned together.

Describe the vehicle as it will be found

“It does not start” is a useful beginning, but it does not explain how the car will load. Tell the operator:

  • Make, model, year and registration plate
  • Whether the engine starts
  • Whether the transmission can select neutral
  • Whether all four wheels roll
  • Whether the steering turns and the brakes work
  • Whether any tyre is flat, a wheel is damaged, or the handbrake is stuck
  • Whether there is visible accident damage or a fluid leak
  • Whether the vehicle is an EV, lowered, modified or unusually low
  • Whether a working key is available

Do not test a damaged car by driving it just to improve the answer. Describe what you already know and send photos. A car that starts but has a locked wheel may need more planning than a non-runner that rolls and steers normally.

Check access at both ends

A flatbed needs room to approach, line up and leave safely. Before booking, look at the pickup and delivery locations from a truck driver’s point of view.

Tell us if the vehicle is in:

  • An underground or multi-storey carpark
  • A narrow driveway or shared access
  • A steep driveway
  • A workshop with other vehicles blocking the exit
  • A gated yard or apartment carpark
  • A soft, uneven or unsealed area
  • A place where the truck cannot stop beside or directly in front of the vehicle

For a carpark, provide the posted height clearance and explain which level the car is on. For a driveway, send one photo looking in from the road and another showing the car in place. A short video can help when the approach has a tight corner, gate or slope.

Do not move the car into a live lane or unsafe position to make collection easier. Share the access problem first so the loading approach can be assessed.

Arrange keys, access and authority

You do not always need to stand beside the vehicle, but unattended collection must be agreed in advance. The operator still needs suitable access, clear authorisation and a safe way to receive the key.

Before pickup, decide:

  1. Who is authorised to release the vehicle?
  2. Where will the working key be?
  3. Who can open any gate, garage or workshop?
  4. Who will receive the vehicle at the destination?
  5. Does the destination know a flatbed is arriving?

If the car is at a workshop, dealership, storage yard or apartment building, confirm their release process before the booking. Accident and insurance jobs can have different requirements, so provide the claim or contact details you have rather than assuming a standard handover.

Clear the car and record its condition

Take personal belongings, valuables and private documents out of the cabin and boot. Remove loose items that could move during transport. Keep anything needed at the destination clearly separated and discuss it before pickup rather than leaving it in the car without notice.

Take clear photos of:

  • The front, rear and both sides
  • Each wheel
  • Existing dents, scratches or broken parts
  • The interior if personal or valuable fittings remain
  • The odometer if it can be displayed
  • The car in its pickup position

These photos give you a simple condition record and help explain any low parts, damage or loading obstacles before the truck arrives.

If the move follows a purchase or sale

Vehicle transport and registration records are separate tasks. NZ Transport Agency says both the buyer and seller must notify it when a vehicle changes hands. Complete the relevant steps on the official NZTA buying and selling a vehicle page, and agree who can release the keys before collection.
